What’s New in August?

This month, everyone’s a winner thanks to major upgrades to our Documents app! Plus, we’ve launched exciting updates to our Walmart app that will give you more opportunities to recover more revenue. Keep reading to learn more!

Billable Overages Upgrades

Managing your Walmart billable overages is now easier than ever thanks to an updated list view, expanded overage scenarios, and new report formats! Here’s the scoop:

Updated List View. Your overages list view now looks like your deductions list view, making it easier for you to search, filter, and track your overage opportunities. Overage opportunities are split into multiple buckets:

• New — Includes all actionable overages that fit within Walmart’s two-year window; are outside of known settlement ranges; and do not have any pending shortage deductions.

• Resolved — Includes all overages that have already been invoiced; expired opportunities; or overages within a settlement range. Paid, partially paid, and deducted statuses indicate if an overage invoice was submitted and whether that invoice was paid in full, partially deducted, or fully deducted.  

• All — Includes all overages above, plus overage opportunities with the pending shortage status. This status indicates an overage opportunity on a PO for which the original invoice had a shortage deduction that first needs to be disputed and resolved.

Expanded Overage Scenarios. We’ve expanded the billable overage scenarios, giving you more opportunities to get paid. Here’s what’s been added:

• Overages on POs with unrelated deductions (e.g., pricing or allowance deductions).

• POs with receiving data for which no invoice has ever been submitted.

• Overages on POs with a shortage deduction that has been disputed and resolved (i.e., cancelled, denied, or approved) but where there is still an overage amount beyond what was invoiced.

New Report Formats. To simplify overage reports, you now have two reporting options. When you open the New tab, you’ll see that you can choose either an overage report or a billing report. (The other tabs will contain only the overage report for tracking reasons.)

• Overage report — Track and summarize overage opportunities at the PO level, including any overage invoices and payment outcomes.

• Billing report — Get line-level data and everything you need to generate accurate overage invoices.

Note: Before you can download the billing report, you’ll need to open the Settings tab and confirm your vendor invoicing information. This will populate the billing report Excel file, and then we’ll automatically load the most recent invoice with this information inside Settings. Once you review and confirm the information, you can save your settings and be good to go!

Auto Disputing Shortages Without Shipping Documents

We've increased your potential to win back more money without increasing your workload! Previously, auto disputing was only available for shortage deductions that have a corresponding shipping document (i.e., POD or BOL). However, there are scenarios in which you still have grounds to dispute and potentially recover revenue, even without a shipping document.  

Before, you could only dispute these shortage deductions manually. Now you have the option of letting SupplyPike automatically dispute them for you, saving you time and increasing your recovery! Think of it as a backup or secondary effort. Finding and attaching shipping documents will continue to be our top priority.  

Here’s how it works: Once enabled, we’ll perform a nightly check to see if any deductions should be disputed without the recommended documents. To qualify, deductions must have existed on the platform for a set amount of time and meet any minimum and maximum amount criteria — all of which are determined by suppliers in the Settings tab. Once relevant deductions are found, we’ll utilize the Walmart Mass Dispute Creation (MDC) process to submit the shortage dispute without any attached documentation.

Documents

Our Documents app, which automates the retrieval and organization of all shipping documents across all retail partners so they can be used to dispute deductions, is the humble backbone of our platform. That’s why we’re so thrilled to share these truly workflow-transforming updates:

New Search Capabilities on All Files

Before, you had to enter the exact file name in the search field. Not anymore. Powered by OCR data, you can now search all files (even those not tied to a deduction) by:

• PO number

• Invoice number

• Zip code

Total Document Request Display

We’ve added a Total Document Request count to the deduction files page. This helps confirm that the flow of deductions to the Documents app is working as expected, especially during onboarding.

Coming Soon

Kroger UI Updates

Next month, Kroger deductions will be consolidated into dispute packages that combine deduction codes based on dispute type and invoice numbers — a move that will eliminate friction from the current dispute process, improve data accuracy, and simplify disputing altogether!
